Provisional booking

Once you have decided on a date for your wedding and have checked the availability of the Registrar (Herford Register Office: 0300 123 4045), contact our Functions Team on 01992 552885 or email: weddings@hertford.gov.uk to check the availability of the venue. An appointment will be arranged for you to view the Downshire Suite with a member of the Functions Team.

Bookings can be provisionally held for 14 days after which time we will require a £100 non-refundable booking fee.

With provisional bookings for receptions, you will need to make arrangements with your caterer to view the venue and the kitchen facilities as soon as possible. It is imperative that all parties are aware of the final arrangements.
On receipt of your deposit you will be sent a booking confirmation letter detailing your booking. A meeting will be arranged with you to discuss the arrangements of your marriage ceremony approximately 8 weeks prior to your “Big Day”. When arranging a wedding breakfast you will be advised to make two appointments, an initial meeting to discuss in detail your requirements and the second meeting to discuss the final arrangements.

Final arrangements

You will need to confirm your final numbers a fortnight before the event. Final payment is due 28 days prior to the event.

Terms & Conditions

Cancellation or postponement:

All cancellations or postponements need to be made in writing. Cancellations giving more than 28 days notice will incur no further hire charge, other than the £100 non-refundable booking fee. Notice of cancellation within 28 days or less will incur 50% of the full hire charge. Notice of cancellation within 7 days or less will incur the full hire charge.

We always recommend you take out insurance cover against cancellation.
